Venue bookings

Applications for Hire

All applications must be made using the appropriate booking form. Brio Leisure reserves the right to refuse any application without stating its reason for doing so.

Applications will not be considered from persons less than 18 years of age.

Applications must be completed and returned within 10 days or the date may be released. No public announcement of any function shall be made until the booking has been confirmed in writing.

Charges

a) Charges for hiring shall be in accordance with the current scale of charges and any amendments made by Brio Leisure to such scale. The chargeable period shall include set up and take down time which should be declared by the hirer.

b) Unless otherwise agreed with the Facility Manager, all hire fees are payable at the time of booking. Where agreed by the Manager a deposit of no less than 25% of the hire fee may be charged with the balance due 10 days prior to the hire date. In exceptional circumstances hire fees may be paid after the hire date provided that the hirer has completed a credit application form which has been subsequently processed and agreed by Brio Leisure.

c) Where a hire includes either live or recorded music the Hirer will be responsible for all legal returns and payments due to Performing Rights Society Ltd.

Cancellation and Postponement of Hiring

Brio Leisure shall be entitled to cancel the hiring:-

a) If any sum or deposit payable is not paid by the hirer by the date upon which it is due.

b) In the event of Brio Leisure or the Council requiring the venue in connection with an occasion of National Rejoicing or Mourning or for a purpose which is of Civic or National Importance.

c) In the event of the accommodation being required for the purpose of Parliamentary or Local Elections.

d) In the event of the individual, organisation or activities infringing the law or licensing regulations.

e) The Hirer may cancel or postpone the hiring but will be liable for any charges due at the time of cancellation.

Damage, Loss and Accident

a) The Hirer shall pay to Brio Leisure any costs incurred in making good any damage to, or loss of, the building, furniture, fixtures and fittings or any equipment belonging to Brio Leisure arising directly or indirectly out of the hiring of the facility.

b) Unless due to the negligence or breach of statutory duty of Brio Leisure, the Hirer shall be responsible for their visitors / invitees including their safety and well-being. It is, therefore, the responsibility of the Hirer by way of indemnity to effect insurance against all claims, costs or demands in respect of personal injury and / or loss or theft of and / or damage to property howsoever suffered or incurred by any person or company whatsoever which may arise out of the hiring of the accommodation to the value of £2,000,000. Brio Leisure may require such insurance to be effected and to the production of evidence of the same. Failure to comply shall result in the cancellation of the hiring.

c) In some cases the Manager may request payment of a returnable bond of no less than £250 to be held against any damages resulting from the hire.

Maintenance of Good Order

a) The Hirer shall, at all times, be responsible for the maintenance of good order during the function and shall provide SIA registered security attendants or stewards as requested and approved by Brio Leisure. Upon the instructions of the Duty Manager the Hirer shall remove or cause to be removed any persons from the accommodation hired.

b) The hirer shall ensure that the capacity of any area is at no time exceeded.

Performing Rights Society Ltd., Copyright and Royalties

The Hirer shall disclose to Brio Leisure the net Box Office receipts taken at their event within 4 weeks after the event.

The Hirer must seek all permissions required to perform works and make arrangements for the payment of any taxes or of any royalties chargeable in respect of the function.

Parking of Vehicles

Under no circumstances will Brio Leisure accept any responsibility for loss of, or damage to, any car or other vehicle which in connection with the function is brought or left within vicinity of the facility. The Hirer shall ensure that no car or other vehicle is allowed to be parked in any unauthorised position or on public roads in a position likely to obstruct residents parking.

Right of Entry

Any duly authorised Officials of Brio Leisure on duty shall at all times have free ingress and egress to and from the Hall.

Prevention of Use of Accommodation Through Strikes ETC

Brio Leisure will not be responsible for any loss or damage suffered by the Hirer in the event of the accommodation not being available by reason accident, war, civil commotion, force major, strike, lockout, epidemic or other like cause. No responsibility will be accepted or compensation paid by Brio Leisure in the event of loss or damage suffered by the Hirer on account of a failure of the lighting or other equipment in the accommodation.

Provision of Alcoholic And Non-alcoholic Beverages

All beverages, both alcoholic and non-alcoholic, shall only be supplied and sold by the holders of the Premises License. No other beverages shall be consumed on or brought onto the premises.

Portable Electrical Appliance Testing (P.A.T.)

Any electrical equipment brought onto the premises must have a current PAT certificate. Brio Leisure reserves the right to inspect these certificates and also the right to refuse the use of any such equipment if it is not satisfied with its documentation or condition.

Event Promotion

Responsibility for the promotion of events lies with the Hall Hirer. Brio Leisure takes no responsibility for promotion. The Hall Manager(s) may offer to assist Hirers with promotion but where such assistance is given it must be agreed in advance. Brio Leisure is not responsible for any failure to promote any Hirers’ event.

Special Conditions

a) The Hirer shall comply with all conditions and control measures identified by the Premises Licence.

b) No bookings for events will be accepted within 48 hours of the event start time.

c) A cleaning charge will be levied on the Hirer if the premises are not left in a clean and tidy condition.

d) If the event or function requires the use of firearms, pyrotechnics or any other special stage effects, permission must be obtained in writing from the Council by giving at least 1 month prior notice of such request.

e) Any stage lighting lanterns which are moved or refocused must be returned to their original position(s) after use. If this has to be undertaken by the Brio Leisure, then an appropriate charge will be levied on the Hirer.
